The workflow is also known as the approval process in UW CM. The proposal (course, program, credential, department information) will sit in an approval stop (node) until an action is taken by the approver assigned to that role.

The nodes have been populated by the UW Curriculum Office based on the preference of your unit. If you have questions or need to make an update, please contact the UW Curriculum Office at uwcr@uw.edu.

Note: Not all departments will have a Department Committee approval role.

Approval Role

Step 1. Email notification sent

An email notification is sent to you when a proposal (course, program, credential, department information) is pending your approval.

To review the proposal, you can either click on the proposal link provided in the email or access it through your Action List in UW CM.

Step 2: Approve or Send Back proposal

An approver can either Approve, Send Back, or Reject a proposal. In addition, the approver has the ability to edit a proposal before approving or sending back in the workflow.

Approve

If approved, the proposal will continue through the workflow to the next approver node. It only takes one approval to advance a proposal in the workflow, even if there are multiple approvers for a node.

Send Back

A  proposal may be sent back in the workflow from an approval node to any prior approval node. Please see the Workflow Send Back quick guide for more information.

Reject

Rejecting a proposal is not recommended. No further action can be taken on a rejected proposal, other than to duplicate it (using the ‘Duplicate’ button) to create a new proposal.

Acknowledgement Role

A unit listed in the ‘Curricular Relationship’ section of a proposal (course, program, credential) will receive an email notification requesting review and acknowledgment of a proposed curricular relationship, or use of a course as a course prerequisite, program requirement, or program elective. Acknowledgment requests are sent after a proposal has been approved by the department chair/director node in the workflow.

To review the proposal, you can either click on the proposal link provided in the email or access it through your Action List in UW CM.

Step 2: Acknowledge proposal

An acknowledgment request is your opportunity as a potentially affected unit to express support or concern with a proposed curricular relationship, or use of a course offered by your unit as a course prerequisite, program requirement, or program elective. To do this, select the ‘Acknowledge’ button, provide a comment, and then click the ‘Acknowledge’ button again.

Note: For course proposals, after 4 weeks, if the potentially affected unit has not acknowledged a proposal, the UW Curriculum Committee may approve the course proposal without the acknowledgment of the potentially affected unit.
