Understanding Programs and Credentials in UW CM

In order to change an undergraduate academic program, an undergraduate program proposal change form must be submitted in the UW Curriculum Management system (UW CM). For a detailed explanation of programs and credentials in UW CM, please refer to the Programs and Credentials quick guide.

Change an undergraduate program with a one program/one credential relationship

In this example, the undergraduate program is Curriculum Management and the credential is the Bachelor of Arts degree with a major in Curriculum Management.

Undergraduate Major

  • Program: Curriculum Management
  • Credential: Bachelor of Arts degree with a major in Curriculum Management

In this scenario where there is just one credential associated with a program, to make a change, such as to the completion requirements, only a program change proposal is required. After the program change proposal is approved, the UW Curriculum Office will modify the associated credential record, if necessary.

Step 1: Log into UW CM

Log into UW CM using your UW NetID and password. If you experience issues, please contact the UW Curriculum Office at uwcr@uw.edu.

Step 2: Find Your Program

Search screen

Select ‘Programs’ on the left navigation panel. Under ‘Filters’, make sure the ‘Active’ checkbox is clicked. Type the program name or program code in the search bar to find the program. You can further narrow the search results with the department or college/school filters. Select your program in the results section.

Step 3: Propose a Program Change

To propose a program change, click the ‘Propose Changes’ button

Step 4: Complete the Program Information section

A first effective quarter/year must be proposed. If proposing to change the program title, this field must also be updated.

  1. Change Type: Indicate the type of change(s) being proposed by completing either the Substantive Changes or Non-Substantive Changes columns, checking the appropriate boxes. To determine if the proposed change is substantive or non-substantive, please refer to these FAQs. Both substantive and non-substantive changes may be proposed in the same proposal. Other Changes do not apply to this scenario and should be submitted as a separate proposal (refer to Submitting Other Changes quick guide).
  2. Notice of Proposal: Some substantive program and credential changes require an NOP. To determine if applicable, please refer to these FAQs. If required, complete this field with the NOP file hyperlink provided to your unit by the UW Curriculum Office.
  3. Approval Workflow: Choose either ‘Undergraduate Substantive Change’ or ‘Undergraduate Non-Substantive Change’ from the drop-down options to initiate the appropriate approval workflow. If you are proposing both substantive and non-substantive changes, you must select the Undergraduate Substantive Change workflow.
  4. Justification: Provide an explanation of and rationale for the proposed program change(s).
  5. Related Proposals: Check this box if there are related program, credential, or course proposals. Information about related proposals should be included in the Justification field.
  6. Proposal Tracking Comments: Optional.

Step 6: Edit the Catalog Information section for changes

Any completed field in this section will appear in the general catalog. Only include details applicable to the main program and the program credential.

  1. Credential Title (Display): If proposing to change the name of the existing credential, complete this field, otherwise, leave it blank. Credential title examples:
    • Named degree: Bachelor of Arts in Curriculum Management degree
    • Major: Bachelor of Arts degree with a major in Curriculum Management
    • Option: Bachelor of Arts degree with a major in Curriculum Management: Teaching
    • Minor: Minor in Curriculum Management
  2. Program Overview: Appears in both catalog and MyPlan.
  3. Admission Type: If proposing to change admission type, choose from the following:
    • Open: Students in good academic standing are admitted at any time.
    • Minimum Requirements: Requires students to complete satisfactorily a set of prerequisite courses with a minimum GPA. All students who meet the minimum requirements are admitted.
    • Capacity-constrained: Students must complete all minimum requirements to apply and must then compete with the entire applicant pool for a limited number of spaces.
    • Mixed: If a program has more than one credential, some of the credentials may have different admission types. For example, a program offering two credentials may have one credential with open admission and one credential with minimum requirements admission.

  4. Recommended Preparation: If proposing to change or add recommended preparation, update this field for the proposed changes.
  5. Admission Requirements: If proposing to change admission requirements, update this field for the proposed changes.
  6. Completion Requirements: If proposing to change completion requirements, update this field for the proposed changes.

  7. Additional Information: If proposing to change additional information, update this field for the proposed changes. Do not repeat department-level details already included under Departments in UW CM (refer to Updating Undergraduate Department Information quick guide).
  8. Total Credits: Update if proposing to change the total number of required program credits.
  9. Continuation Policy: Include if proposing to add a continuation policy. Typical continuation policy catalog copy is, “All students must make satisfactory academic progress in the major. Failure to do so results in probation, which can lead to dismissal from the major. For the complete continuation policy, contact the departmental adviser or refer to the department website.”

Step 7: Update the Enrollment and Delivery section, if applicable

  1. Potentially Affected Departments: List all departments/units/or co-accredited programs affected by the proposed program change, including if you are proposing courses offered by other units as program requirements or electives.
  2. Offered Jointly With Department: List all offered jointly with units. The program will appear under both departments in MyPlan.

Note: Start by typing in the unit name and select from the list of suggestions.

Step 9: Supporting Documents

Attach supporting documents relevant to the proposed program change.

Step 10: Select ‘Save and Exit’ to save the proposal

Step 11: Review proposal and then select ‘Submit for Approval’

Review your proposed changes before submitting the proposal into the workflow.

Change an undergraduate program with a one program/multiple credentials relationship (program requirements only)

In this example, the undergraduate program is Curriculum Management, and the credentials are the Bachelor of Arts degree with a major in Curriculum Management and the Bachelor of Arts degree with a major in Curriculum Management: Teaching.

  • Program: Curriculum Management
  • Credentials: Bachelor of Arts degree with a major in Curriculum Management; Bachelor of Arts degree with a major in Curriculum Management: Teaching

In this scenario, multiple credentials are associated with one program. Both credentials have the same admission requirements at the program-level, and a change to admission requirements is being proposed. In this case, only one program change proposal is required because individual credential admission requirements are not changing.

Change an undergraduate program with a one program/multiple credentials relationship (both program and credential requirements)

In this example, the undergraduate program is Curriculum Management, and the credentials are the Bachelor of Arts degree with a major in Curriculum Management and the Bachelor of Arts degree with a major in Curriculum Management: Teaching.

  • Credentials: Bachelor of Arts degree with a major in Curriculum Management; Bachelor of Arts degree with a major in Curriculum Management: Teaching

In this scenario, multiple credentials are associated with one program. Both credentials have the same program-level admission requirements, shared program-level completion requirements, and specific individual credential-level completion requirements. Changes are being proposed to the shared program-level completion requirements and each credential specific requirement.

Program: Curriculum Management (UG-CURRIC-MAJOR)

Completion Requirements
55-60 credits

  1. Core Courses (25 credits): TRAIN 215, TRAIN 220, TRAIN 230, TRAIN 250, TRAIN 300
  2. Curriculum Management Courses (20 15 credits): Refer to department website for approved list of courses.
  3. Additional requirements specified below.
  4. Minimum 35 credits taken in 300-400 level courses
  5. Minimum 2.00 cumulative GPA in courses applied to the major

Credential: Bachelor of Arts degree with a major in Curriculum Management (CURRIC-0-1-1)

Additional Completion Requirements
Electives (10 15 credits): Refer to department website for a list of approved courses.

Credential: Bachelor of Arts degree with a major in Curriculum Management: Teaching (CURRIC-10-1-1)

Additional Completion Requirements
Option specific credits (15 20 credits): TRAIN 350, TRAIN 415, TRAIN 450, TRAIN 475.

In this case, three proposals must be submitted in UW CM:

  1. Undergraduate program proposal to change the shared completion requirements for Curriculum Management (UG-CURRIC-MAJOR)
  2. Undergraduate credential proposal to change the specific completion requirements for the Bachelor of Arts degree with a major in Curriculum Management (CURRIC-0-1-1)
  3. Undergraduate credential proposal to change the specific completion requirements for the Bachelor of Arts degree with a major in Curriculum Management: Teaching (CURRIC-10-1-1)

Proposal #1: Undergraduate program proposal to change the shared completion requirements for Curriculum Management (UG-CURRIC-MAJOR)

Steps 1-5: Propose a program change to Curriculum Management (UG-CURRIC-MAJOR)

Step 6: Edit the Catalog Information section for changes

Propose changes to the current completion requirements field. In this example, the Curriculum Management Courses program requirements are changing from 20 credits to 15 credits.

Step 11: Review proposal and then select ‘Submit for Approval’

Propose changes to the ‘Additional Completion Requirements (Credential)’ field. In this example, the Bachelor of Arts degree with a major in Curriculum Management (CURRIC-0-1-1) credential elective requirements are changing from 10 credits to 15 credits.

Propose changes to the ‘Additional Completion Requirements (Credential)’ field. In this example, the Bachelor of Arts degree with a major in Curriculum Management: Teaching (CURRIC-10-1-1) credential option specific credits are changing from 15 credits to 20 credits.
