Workflow in UW CM

The workflow is also known as the approval process in UW CM. The proposal will sit in an approval stop (node) until an action is taken by the approver assigned to that role.

Sending Back a Proposal

A proposal (course, program, credential, department information) may be sent back in the workflow from an approval node to any prior approval node or the proposer. For instance, a proposal may be sent back from the college/campus curriculum committee approval node to the department approval node to make a correction or add a curricular relationship.

Step 1. Select the ‘Send Back’ button

If you are an approver for a particular approval node (department, college/campus curriculum committee, college dean/VC), when a proposal is pending your approval, you have the ability to send a proposal back to a previous approval node or the original proposer.

Step 2. Choose the appropriate send back node

You must select the square representing the node to which you are sending back the proposal.

Step 3. Choose the send back method

‘Come Back to Me’

  • By selecting this method, the proposal will return to you after the user resubmits or re-approves the proposal. This method will retain all approvals and acknowledgements already received for a proposal. No new approval or acknowledgement requests will be sent.
    • Example: If the UWCO sends a proposal back to the proposer, when the proposer resubmits the proposal, it will return to the UWCO approval node.

‘Back Through Workflow’

Note: If you are requesting to have a new curricular relationships added, you must select this send back method.

  • By selecting this method, the proposal will go back through the workflow after the user resubmits or re-approves the proposal. This method does not retain approvals and acknowledgements already received for affected approval nodes. New approval and acknowledgement requests will be sent when the user resubmits or re-approves the proposal.
    • Example: If the UWCO sends back a proposal to the college/campus curriculum committee, the college dean/VC approval is removed. When an approver from the college/campus curriculum committee resubmits the proposal, the approvers for the college dean/VC node will receive new approval requests.
    • Note: A proposal can be sent back multiple times when you choose this method. For instance, if the UWCO sends a proposal back to the college/campus curriculum committee, an approver from the college/campus curriculum committee may then send a proposal back to the proposer. Note, this cannot be done if you choose ‘Come Back to Me’.

Step 4. Include a comment and select the ‘Send Back’ button

Add a descriptive comment to let the receiver know why the proposal is being sent back, and the action(s) they need to take before resubmitting/reapproving.


Step 5. The proposal is now pending action

An email notification is sent to the affected users letting them know they need to take action. The proposal will remain at the approval node to which it was returned until the proposal is resubmitted or re-approved.

Step 2. Select the ‘Edit’ button to make the requested updates

Step 3. Select ‘Save and Exit’ to save your changes

Step 4. Select ‘Resubmit’

Step 5. Provide a comment and resubmit the proposal back into the workflow

Step 6. Proposal sent to appropriate workflow node

If the send back method was ‘Come Back to Me’, the proposal will return to the workflow node from which it was sent.

Example: A proposal sent back to the proposer by the UWCO, returns to the UWCO node.

If the send back method was ‘Back Through Workflow’, the proposal will go to the approval node after the approval node it was sent back to.

Example: A proposal sent back to the proposer, then goes to the department approval node.
