Directory Information

Understanding Directory Release

FERPA allows colleges and universities to designated specific parts of a student’s education record as directory (or public) information. Students may choose whether or not to allow release of their directory information via MyUW.  Directory information can be released unless the student has changed their directory information privacy preferences.

If the student has blocked release of directory information, you may not release any information about that student. The Office of the University Registrar recommends you say “I have no information about that individual“.

Use the 305 screen in the Student Database (SDB) to check for a student’s directory release setting.

Departments may not release non-directory or personally identifiable information about a student to a third party, including parents, without the student’s written authorization. You may have the student fill out a consent-to-release form if the students wants you to speak with a third party. The student must sign a new form each time they allow you to release non-directory information. The Consent to Release Records web form will be available on the OUR website starting Autumn 2019.

FERPA allows institutions to decide what information is and is not considered directory information. The UW has designated the following:

  • date of birth
  • dates of attendance
  • degrees and awards received
  • enrollment status
  • major and minor field(s) of study
  • class (i.e. freshman, sophomore, etc.)
  • participation in officially recognized activities and sports
  • most recent previously attended school or institution
  • weight and height, if the student is a member of an intercollegiate team
  • social security number
  • student number
  • citizenship
  • gender
  • race, ethnicity, or nationality
  • religious preference
  • grades/exam scores
  • GPA
  • daily class schedule
  • parent address/phone
  • emergency contact
